By making any payment through an official platform of Just Help Me Foundation (JHMF), every payer confirms that they have carefully read, understood, and voluntarily agreed to this Universal Refund and Cancellation Policy.

1 Introduction

Welcome to Just Help Me Foundation (JHMF). This Universal Refund and Cancellation Policy establishes the principles governing refunds, cancellations, reversals, payment disputes, chargebacks, transaction errors, and other financial matters relating to payments made through the official digital platforms of Just Help Me Foundation.

The purpose of this Policy is to ensure fairness, transparency, accountability, financial integrity, and compliance with applicable legal and regulatory requirements while protecting the interests of donors, members, applicants, partners, and the Foundation.

This Policy applies to every financial transaction conducted through the Foundation's officially authorized digital platforms, including donations, membership fees, registration fees, event participation fees, training fees, recruitment-related payments where legally permissible, certification charges, service charges, digital services, publications, merchandise, sponsorships, and any other payments accepted by the Foundation.

2 Scope of this Policy

This Universal Refund and Cancellation Policy applies to every financial transaction processed through all official digital properties owned, operated, managed, licensed, or authorized by Just Help Me Foundation, including but not limited to:

  • Official Membership Portal
  • Official Award Portal
  • Official Branch Login Portal
  • Official Employment Portal
  • Official Information Portal
  • Official Donation Portal
  • Official Volunteer Portal
  • Official Event & Training Portals
  • Official Digital Verification Portal
  • Official Payment Gateways & Mobile Apps

Without limitation, this Policy currently applies to the following official domains:

This Policy shall automatically apply to every future website, domain, subdomain, mobile application, payment system, software platform, fundraising platform, online registration system, API, cloud service, or other digital property officially owned, operated, managed, or authorized by Just Help Me Foundation without requiring a separate Refund and Cancellation Policy.

3 General Policy Statement

Just Help Me Foundation is committed to processing payments responsibly and maintaining transparent financial practices. Because the majority of payments received by the Foundation are applied toward charitable activities, nonprofit operations, community development programs, educational initiatives, humanitarian projects, digital infrastructure, and administrative expenses, many payments become committed shortly after successful processing.

Accordingly, refunds are not automatic and shall be considered only under the specific circumstances described in this Policy or where required by applicable law. Every refund request shall be reviewed individually based on the facts of the transaction, applicable legal obligations, payment gateway regulations, banking requirements, internal financial controls, and organizational policies.

This Policy applies to, but is not limited to, the following categories of payments made through official JHMF platforms:

5 User Responsibility Before Payment

Before completing any transaction, every payer is solely responsible for verifying the accuracy of the payment amount, selected service, applicable fee, personal information, billing details, email address, mobile number, payment method, and all other transaction-related information.

By confirming a payment, the payer acknowledges that the transaction has been voluntarily initiated and authorizes the Foundation and its payment service providers to process the payment in accordance with this Policy. The Foundation shall not be responsible for losses arising from incorrect information entered by the payer, payments made to unauthorized accounts, duplicate submissions caused by user negligence, or payments initiated without proper authorization.

6 Eligible Circumstances for Refund

Just Help Me Foundation recognizes that certain exceptional situations may justify the processing of a refund. Refund requests shall be considered only after appropriate verification and only where the Foundation determines that the request satisfies the eligibility requirements established under this Policy or where a refund is required by applicable law. Approval of any refund remains entirely at the discretion of the Foundation unless otherwise mandated by law.

Refunds may be considered in circumstances including:

  • Duplicate payments made for the same transaction due to a technical error
  • Payments processed due to verified system or payment gateway glitches
  • Verified unauthorized transactions reported immediately
  • Payments made in excess of the applicable fee due to a processing error
  • Cancellation of an event or service by the Foundation where no suitable alternative is offered

7 Non-Refundable Payments

Unless otherwise required by applicable law or expressly approved in writing by the Foundation, the following payments are generally non-refundable after successful processing:

  • Voluntary charitable donations
  • Membership registration and renewal fees
  • Application processing fees
  • Award registration fees
  • Training and workshop fees after access has been granted
  • Certification charges after issuance
  • Digital verification charges after verification has been completed
  • Administrative and processing fees
  • Digital products, downloadable publications, or electronic resources once delivered
  • Sponsorship contributions already utilized for approved activities
  • Any payment specifically identified as non-refundable at the time of payment

The Foundation may decline refund requests where the relevant service has already been provided, administrative processing has been completed, or organizational resources have already been committed.

8 Duplicate Transactions

If a donor, member, applicant, or user unintentionally completes the same payment more than once due to a technical issue, banking error, or accidental multiple submission, the Foundation may, after verification, process an appropriate refund for the duplicate amount.

The Foundation may require transaction references, payment confirmations, bank statements, screenshots, or any other supporting documentation necessary to verify the duplicate transaction before initiating any refund.

9 Failed or Incomplete Transactions

Where a payment fails due to banking interruption, communication failure, payment gateway disruption, or other technical reasons, but the amount has been debited from the payer's account, the user should first verify the transaction status with the relevant bank or payment service provider.

In many cases, failed transactions are automatically reversed by the banking system or payment gateway within the period prescribed by the financial institution. Where the Foundation has not received the funds, responsibility for the reversal shall remain with the payment service provider or the payer's financial institution. Where the Foundation has received the payment despite a reported failure, the matter shall be reviewed and resolved in accordance with this Policy.

10 Cancellation Requests

Requests for cancellation of registrations, memberships, training programs, event participation, certifications, applications, sponsorships, or other paid services must be submitted through the official communication channels of Just Help Me Foundation together with all relevant supporting information.

Submission of a cancellation request does not automatically result in approval of cancellation or refund. Every request shall be evaluated on the basis of applicable program rules, the stage of processing, administrative expenses already incurred, contractual obligations, operational commitments, and other relevant circumstances.

11 Chargebacks and Payment Disputes

If a payer initiates a chargeback, payment reversal, banking dispute, or credit card dispute without first contacting the Foundation, the Foundation reserves the right to suspend the associated account, membership, registration, certificate, digital services, or other organizational benefits until the matter has been fully investigated and resolved.

The Foundation may provide transaction records, communications, payment confirmations, application records, service delivery records, or other supporting documentation to payment gateway providers, banks, financial institutions, or dispute resolution authorities in order to defend legitimate transactions and resolve payment disputes.

12 Refund Processing Timeline

Where a refund request has been approved by the Foundation, reasonable efforts shall be made to process the refund within a commercially reasonable period, subject to banking procedures, payment gateway timelines, compliance reviews, public holidays, technical limitations, and other operational factors.

The actual time required for the refunded amount to appear in the payer's account shall depend upon the policies and processing timelines of the relevant bank, card issuer, payment gateway, or financial institution, over which the Foundation has no direct control.

13 Payment Gateway Responsibilities

Online payments are processed through authorized third-party payment gateways and financial institutions. Although Just Help Me Foundation carefully selects reliable payment partners, it does not control the operational systems, banking infrastructure, transaction processing mechanisms, settlement procedures, security protocols, or internal policies of such service providers.

Accordingly, the Foundation shall not be responsible for delays, technical failures, banking errors, settlement issues, payment gateway outages, communication failures, or processing interruptions occurring within third-party financial systems.

14 Exceptional Circumstances

The Foundation recognizes that extraordinary situations may arise which are not specifically addressed within this Policy. In such cases, the Foundation may review the matter individually, taking into account fairness, legal obligations, operational feasibility, financial governance, donor interests, organizational integrity, and the overall objectives of the Foundation.

Any decision made under exceptional circumstances shall not create a precedent or establish a continuing entitlement for future refund requests.

15 Compliance and Verification

Before approving any refund or cancellation request, Just Help Me Foundation may conduct appropriate verification procedures, including identity verification, payment confirmation, fraud prevention checks, document review, transaction reconciliation, sanctions screening, and any other compliance measures considered necessary to protect the Foundation, its stakeholders, and the integrity of its financial operations.

The Foundation reserves the right to refuse any refund request where there is evidence of fraud, misrepresentation, unlawful activity, abuse of payment systems, violation of organizational policies, or non-compliance with applicable laws.

16 Tax Implications

Any refund approved by Just Help Me Foundation shall be processed in accordance with applicable tax laws, accounting standards, financial regulations, and statutory compliance requirements. Where an official donation receipt, tax certificate, invoice, or any other financial document has already been issued, the Foundation may require such document to be cancelled, amended, or returned before processing a refund, where legally applicable.

The Foundation does not provide tax, legal, or accounting advice. Any tax consequences arising from a refund, cancellation, or reversal of a payment shall remain the sole responsibility of the payer.

17 Record Retention

Just Help Me Foundation shall maintain records relating to payment transactions, refund requests, cancellation requests, payment confirmations, communications, supporting documents, banking information, financial reconciliations, audit records, and compliance documentation for such period as may be required by applicable law, accounting regulations, organizational governance requirements, or legitimate administrative purposes.

18 User Responsibilities

Every user requesting a refund or cancellation is responsible for providing complete, accurate, and truthful information together with all supporting documentation reasonably required by the Foundation for verification purposes. Users shall cooperate fully during the review process and promptly respond to requests for additional information where necessary.

Users shall not submit fraudulent claims, altered documents, false payment confirmations, forged banking records, or misleading information in support of any refund request. Any attempt to obtain a refund through deception may result in rejection, suspension of services, recovery proceedings, and legal reporting.

19 Organizational Authority

Just Help Me Foundation reserves the exclusive authority to evaluate, approve, reject, defer, suspend, partially approve, or otherwise determine every refund or cancellation request in accordance with this Policy, applicable laws, financial regulations, contractual obligations, organizational procedures, and principles of fairness and accountability.

20 Reservation of Rights

The Foundation reserves the unrestricted right to modify payment procedures, refund eligibility requirements, cancellation processes, supporting documentation requirements, financial controls, administrative practices, review procedures, processing timelines, and operational guidelines whenever necessary to maintain legal compliance, improve governance, strengthen financial integrity, protect organizational interests, or adapt to technological and regulatory developments.

21 Limitation of Liability

To the fullest extent permitted by applicable law, Just Help Me Foundation, its founders, trustees, directors, governing body members, office bearers, employees, volunteers, consultants, advisors, affiliates, representatives, contractors, payment gateway providers, financial institutions, technology partners, and authorized agents shall not be liable for any indirect, incidental, consequential, exemplary, punitive, reputational, or economic loss arising from the rejection, delay, suspension, investigation, cancellation, or processing of any refund request.

22 Force Majeure

Just Help Me Foundation shall not be responsible for any inability or delay in processing refunds or cancellations resulting from events beyond its reasonable control, including natural disasters, floods, earthquakes, fires, pandemics, cyberattacks, banking failures, payment gateway outages, internet disruptions, power failures, governmental restrictions, judicial orders, labor disputes, civil disturbances, or armed conflicts.

23 Fraud Prevention

The Foundation maintains strict anti-fraud, anti-money laundering, and financial compliance procedures to protect charitable resources and ensure responsible financial governance. Every refund request may be subjected to fraud detection measures, identity verification, payment verification, sanctions screening, source-of-funds review, and transaction analysis.

24 Relationship with Other Policies

This Universal Refund and Cancellation Policy shall be read together with the Foundation's Universal Privacy Policy, Universal Terms and Conditions, Universal Disclaimer Policy, Universal Donation Policy, Membership Policy, Cookie Policy, Employment Policy, Award Policy, NGO Partnership Policy, Grievance Redressal Policy, and every other officially published policy governing the Foundation's operations.

25 Policy Amendments

Just Help Me Foundation reserves the absolute and unrestricted right to revise, amend, update, replace, interpret, suspend, or withdraw this Universal Refund and Cancellation Policy at any time without prior individual notice. The latest version of this Policy shall always be published on the official digital platforms of Just Help Me Foundation.

26 Governing Law

This Universal Refund and Cancellation Policy shall be governed by, interpreted, and enforced in accordance with the applicable laws of the jurisdiction in which Just Help Me Foundation is legally established and operates.

27 Dispute Resolution

Any dispute, controversy, complaint, or claim arising out of or relating to any payment, refund request, cancellation request, transaction reversal, financial dispute, or chargeback should first be submitted to the Foundation through its officially established grievance and dispute resolution procedures.

28 Severability

If any provision of this Universal Refund and Cancellation Policy is held to be invalid, unlawful, void, or unenforceable, such determination shall not affect the validity or enforceability of the remaining provisions.

29 Entire Agreement

This Universal Refund and Cancellation Policy constitutes an integral component of the overall legal framework governing the financial transactions and digital operations of Just Help Me Foundation.

Final Legal Declaration

By making any payment through any official website, domain, subdomain, mobile application, online portal, payment gateway, fundraising platform, software application, cloud-based service, API, or any future digital platform owned or operated by Just Help Me Foundation (JHMF), you acknowledge that you have carefully read, fully understood, and voluntarily accepted this Universal Refund and Cancellation Policy in its entirety.

This Universal Refund and Cancellation Policy shall apply uniformly to all present and future digital platforms and services of Just Help Me Foundation. Continued use of any official payment facility following publication of an updated version constitutes ongoing acceptance of the revised provisions.

32 No Waiver

The failure or delay of Just Help Me Foundation to exercise or enforce any right, remedy, authority, or provision contained in this Universal Refund and Cancellation Policy shall not constitute a waiver of such right or remedy. Any waiver shall be effective only if made expressly in writing by an authorized representative of the Foundation. A waiver in one instance shall not operate as a waiver of any subsequent breach or any other provision of this Policy.
