UNIVERSAL MEMBERSHIP POLICY

Governance Standards, Rights, Responsibilities, Eligibility & Privileges for Members of Just Help Me Foundation.

1. Introduction

Welcome to Just Help Me Foundation (JHMF). This Universal Membership Policy establishes the principles, eligibility requirements, rights, responsibilities, privileges, obligations, governance standards, and administrative procedures relating to membership within Just Help Me Foundation. The Foundation believes that its members are the backbone of its humanitarian mission and play a vital role in advancing charitable, educational, environmental, healthcare, community development, skill development, disaster relief, animal welfare, women empowerment, youth development, and other nonprofit initiatives.

This Policy has been developed to ensure fairness, transparency, accountability, equal opportunity, and responsible governance throughout the membership process. It applies equally to every individual, volunteer, office bearer, NGO representative, institutional member, partner organization, applicant, and beneficiary interacting with the Foundation's membership framework.

By applying for membership, registering as a member, accepting any membership designation, holding a digital membership card, accessing member services, or engaging with any official platform of Just Help Me Foundation, every member confirms that they have carefully read, fully understood, and voluntarily agreed to this Universal Membership Policy together with the Foundation's Privacy Policy, Data Protection Policy, Terms and Conditions, Code of Conduct, and all other officially published organizational policies.

2. Scope of this Membership Policy

This Universal Membership Policy applies to all categories of membership established, managed, or recognized by Just Help Me Foundation across all physical offices, digital platforms, branches, state units, district units, local committees, institutional partnerships, and affiliated entities.

Without limitation, this Policy currently applies to the following official domains:

This Membership Policy shall automatically apply to every present and future domain, website, mobile application, payment portal, digital platform, cloud service, software application, API, membership management system, or any other digital property officially owned, operated, managed, licensed, or authorized by Just Help Me Foundation without requiring a separate Membership Policy for each platform.

3. Purpose of Membership

The primary purpose of membership within Just Help Me Foundation is to build an active, organized, ethical, and compassionate network of individuals, professionals, institutions, and organizations dedicated to advancing humanitarian service, social justice, environmental protection, community welfare, and sustainable development.

Membership serves as a structured framework through which individuals and institutions can contribute their time, skills, expertise, resources, ideas, leadership, and public influence toward achieving the Foundation's charitable objectives. Membership is intended to encourage democratic participation within approved guidelines, foster community engagement, strengthen local leadership, and promote public trust in charitable activities.

4. Eligibility for Membership

Membership in Just Help Me Foundation is open to any individual, professional, student, volunteer, community leader, philanthropist, non-governmental organization (NGO), corporate entity, educational institution, trust, society, or legal entity that shares the Foundation's vision, mission, core values, and charitable objectives.

To be eligible for individual membership, an applicant must:

  • 1.Be at least 18 years of age (or possess written consent from a parent or legal guardian for youth/student volunteer memberships where permitted by applicable law).
  • 2.Possess good moral character and a commitment to ethical conduct, social service, and community welfare.
  • 3.Agree to comply with the Foundation's governing documents, bylaws, code of conduct, policies, administrative directions, and applicable laws.
  • 4.Not have been convicted of any serious criminal offence involving moral turpitude, financial fraud, corruption, human rights violations, or activities detrimental to public interest or national security.
  • 5.Provide accurate, truthful, verifiable, and complete information during the application process.

The Foundation reserves the right to prescribe additional eligibility criteria, verification requirements, or documentation for specific membership categories, leadership positions, office bearers, state coordinators, district coordinators, or specialized committees.

5. Membership Approval Process

Membership within Just Help Me Foundation is a privilege and not an absolute right. Submission of a membership application, payment of membership fees (where applicable), or registration on any official portal does not automatically guarantee membership.

All membership applications are subject to review, background verification, due diligence, identity check, administrative evaluation, and official approval by the Foundation's designated membership committee, governing body, or authorized office bearers.

The Foundation reserves the unrestricted right to accept, defer, reject, suspend, or cancel any membership application without assigning any reason if the application is incomplete, contains false information, violates eligibility criteria, conflicts with organizational interests, or fails to meet the standards required by the Foundation.

6. Membership Categories

To accommodate diverse levels of participation, expertise, and contribution, Just Help Me Foundation may establish various membership categories, including but not limited to:

  • 1. General Member: Open to individuals who support the Foundation's mission and wish to participate in general charitable, social, and community activities.
  • 2. Active / Volunteer Member: Assigned to individuals who actively participate in field operations, awareness campaigns, disaster relief, tree plantation, education drives, or event management.
  • 3. Professional / Expert Member: Open to doctors, lawyers, educators, engineers, IT professionals, accountants, researchers, scientists, social workers, and other qualified professionals who contribute technical expertise and advisory support.
  • 4. Padadhikari / Office Bearer Member: Designated for leadership positions, including state coordinators, district coordinators, committee heads, branch managers, and administrative office bearers appointed by the Foundation.
  • 5. Institutional / Corporate / Partner Member: Open to NGOs, trusts, societies, educational institutions, corporate entities, CSR partners, and philanthropic organizations collaborating with the Foundation.
  • 6. Student / Youth Member: Designed for students and young volunteers seeking opportunities for skill development, leadership training, and community service.
  • 7. Honorary / Lifetime Member: Conferred by the Board of Trustees upon distinguished individuals who have rendered extraordinary service to society, philanthropy, or the Foundation.

The Foundation reserves the right to create, modify, rename, merge, reclassify, or discontinue any membership category at any time based on organizational needs and governance standards.

7. Rights and Privileges of Members

Subject to the specific category of membership, compliance with organizational policies, and approval by authorized authorities, members of Just Help Me Foundation may enjoy certain non-transferable rights and privileges, including:

  • 1. Right to participate in approved Foundation programs, campaigns, events, conferences, workshops, training sessions, and community service projects.
  • 2. Access to official member portals, digital dashboards, educational resources, research materials, and volunteer management tools.
  • 3. Eligibility to receive official Membership Certificates, Digital Membership Cards, ID Credentials, and letters of appreciation.
  • 4. Opportunity to apply for leadership positions, committee appointments, project coordinator roles, or branch responsibilities subject to selection procedures.
  • 5. Right to submit constructive suggestions, project proposals, feedback, and grievances through designated organizational channels.
  • 6. Eligibility to represent the Foundation in approved public forums, community meetings, or awareness drives when officially authorized in writing.

Nothing in this Policy shall be construed as granting any member ownership rights over Foundation assets, financial claims, voting rights on corporate governance matters (unless expressly provided under the Foundation's Bylaws), or authority to enter into contracts on behalf of the Foundation without written authorization.

8. Duties and Responsibilities of Members

Every member of Just Help Me Foundation agrees to fulfill their duties with sincerity, integrity, discipline, and dedication. Members shall:

  • 1. Actively support and promote the vision, mission, core values, charitable objectives, and positive reputation of the Foundation.
  • 2. Conduct themselves with dignity, honesty, courtesy, respect, and professionalism in all activities connected with the Foundation.
  • 3. Comply strictly with the Foundation's governing documents, bylaws, code of conduct, privacy policy, data protection guidelines, financial regulations, and administrative instructions.
  • 4. Protect the confidentiality of sensitive organizational information, beneficiary data, donor records, and internal communications.
  • 5. Safeguard organizational property, identification credentials, digital assets, certificates, official logos, and resources against misuse, loss, or unauthorized access.
  • 6. Refrain from making unauthorized public statements, media releases, political declarations, financial commitments, or legal representations on behalf of the Foundation without prior written permission.
  • 7. Report any observed misconduct, fraud, harassment, safety risk, policy violation, or financial irregularity to authorized Foundation representatives promptly.

9. Code of Conduct for Members

Just Help Me Foundation maintains a strict Code of Conduct that applies to all members, office bearers, volunteers, and representatives across all locations and digital platforms.

Members shall NOT:

  • 1. Engage in any illegal, unethical, fraudulent, corrupt, discriminatory, abusive, violent, or immoral activity.
  • 2. Use their membership status, official designations, digital ID cards, or association with the Foundation for personal commercial gain, extortion, unauthorized fundraising, political campaigning, or improper influence.
  • 3. Discriminate against any individual on grounds of religion, caste, ethnicity, gender, language, age, disability, nationality, or social status.
  • 4. Harass, threaten, intimidate, defame, or abuse beneficiaries, colleagues, volunteers, office bearers, donors, or members of the public physically, verbally, or digitally.
  • 5. Collect money, donations, fees, or contributions in the name of the Foundation without official written authorization and valid receipt books or payment links provided by the Foundation.
  • 6. Misrepresent their authority, forge organizational documents, alter membership certificates, or share access credentials with unauthorized persons.
  • 7. Engage in anti-social activities, hate speech, cyberbullying, or actions detrimental to public order, national security, or organizational harmony.

Violation of the Code of Conduct shall result in immediate disciplinary action, including warnings, suspension of membership, revocation of digital ID cards, expulsion from the Foundation, recovery of damages, and legal prosecution where applicable.

10. Membership Fees and Financial Contributions

The Foundation may prescribe membership registration fees, annual subscription fees, renewal fees, or administrative processing fees for specific membership categories to cover the costs of identity verification, digital ID generation, platform maintenance, documentation, and member support services.

All membership fees shall be published transparently on the official digital platforms of the Foundation and must be paid exclusively through authorized online payment gateways, bank transfers, or official financial channels approved by the Foundation.

Membership fees are non-refundable, non-transferable, and non-adjustible, regardless of whether a membership application is rejected, withdrawn, suspended, or terminated, as set forth in the Foundation's Universal Refund and Cancellation Policy.

Holding membership or paying membership fees does not constitute an investment, loan, deposit, financial contract, or entitlement to financial returns, salaries, stipends, grants, or monetary dividends from the Foundation.

11. Digital Membership ID Cards and Credentials

Upon successful registration, verification, and approval, members may be issued an official Digital Membership ID Card, Membership Certificate, or Member Dashboard Access Credentials containing a unique Membership Identification Number (MIDN), QR code, validity period, and category details.

The Digital Membership ID Card serves as proof of membership only and remains the sole intellectual property of Just Help Me Foundation. The ID card does not confer power of attorney, executive authority, police powers, government authority, or legal immunity upon the member.

Members shall display or use their ID cards responsibly and strictly for authorized Foundation activities. Falsification, unauthorized duplication, alteration, lending, renting, selling, or misusing membership credentials is strictly prohibited and constitutes grounds for immediate cancellation and legal action.

12. Membership Validity and Renewal

Membership in Just Help Me Foundation is valid for the specific period stated on the member's digital card, certificate, or official portal account (e.g., annual, multi-year, or fixed-term).

Members wishing to maintain active status must apply for membership renewal before the expiration date by submitting required updates, undergoing periodic re-verification if requested, and paying applicable renewal fees.

The Foundation reserves the right to review a member's performance, conduct, attendance, and compliance before approving membership renewal. Lapsed membership may result in the automatic deactivation of member accounts, revocation of digital ID cards, and forfeiture of member privileges.

13. Suspension and Termination of Membership

Membership in Just Help Me Foundation may be suspended, restricted, revoked, or permanently terminated under any of the following circumstances:

  • 1. Expiration of the membership validity period without timely renewal.
  • 2. Voluntary resignation submitted in writing by the member.
  • 3. Violation of the Foundation's Code of Conduct, Bylaws, Privacy Policy, or organizational policies.
  • 4. Non-payment of prescribed renewal fees or administrative dues after due notice.
  • 5. Submission of false, forged, misleading, or fraudulent information during registration or service.
  • 6. Conviction by a court of law for any criminal offence involving moral turpitude, financial fraud, violence, or anti-national activities.
  • 7. Engaging in unauthorized fundraising, misrepresentation, defamation, harassment, or actions causing financial loss, reputational damage, or legal liability to the Foundation.
  • 8. Inactivity, abandonment of assigned duties, or failure to participate in organizational activities for an extended period without valid reason.

The decision of the Foundation's Disciplinary Committee or Board of Trustees regarding suspension or termination of membership shall be final and binding. Upon termination, all member privileges, access credentials, and rights shall cease immediately, and the former member must immediately surrender or cease using all Foundation property, digital ID cards, logos, and materials.

14. Voluntary Resignation

Any member may voluntarily resign from Just Help Me Foundation by submitting a formal written resignation notice to the Membership Department or through their official member portal account.

Resignation shall take effect upon administrative processing and written acknowledgment by the Foundation. Resignation does not relieve the former member of any pre-existing financial obligations, confidentiality duties, return of organizational property, or liability for past misconduct committed during their tenure.

15. Appeals and Grievance Redressal

A member whose application has been rejected, or whose membership has been suspended or terminated, may submit a written appeal or grievance to the Foundation's Grievance Redressal Officer within 15 days of receiving official notification.

Appeals shall be evaluated fairly, impartially, and in accordance with the Foundation's Universal Grievance Redressal Policy. The decision rendered by the Board of Trustees or designated appellate authority upon review of the appeal shall be final and conclusive.

16. Conflict of Interest

Members, office bearers, and committee members must avoid any conflict of interest between their personal, financial, political, or professional interests and the charitable interests of Just Help Me Foundation.

Members shall disclose any potential conflict of interest promptly and recuse themselves from decision-making, procurement, recruitment, or evaluation procedures where such conflict exists.

17. Confidentiality Obligations

Members may gain access to sensitive organizational information, beneficiary records, donor details, operational strategies, software code, legal documents, and proprietary materials during their association with the Foundation.

Members agree to maintain strict confidentiality regarding all such information and shall not disclose, copy, publish, sell, or distribute confidential materials to third parties without prior written authorization from the Foundation. Confidentiality obligations survive the termination or resignation of membership indefinitely.

18. Data Protection and Privacy

The Foundation collects, stores, processes, and protects members' personal information in accordance with its Universal Privacy Policy, Universal Data Protection Policy, and applicable laws.

Members consent to the processing of their personal data, photograph, contact details, identification documents, and professional credentials for identity verification, membership administration, digital ID generation, communication, regulatory reporting, and organizational activities.

19. Intellectual Property Rights

All logos, trademarks, brand names, domain names, digital content, software platforms, training modules, certificates, graphics, publications, and promotional materials created, owned, or used by Just Help Me Foundation remain the exclusive intellectual property of the Foundation.

Membership does not grant any member ownership, license, or right to use the Foundation's intellectual property for commercial, personal, or unauthorized purposes without explicit written authorization.

20. Proper Use of Digital Credentials & Credentials Misuse

Members issued digital credentials, email addresses, portal logins, or administrative permissions shall use them strictly in accordance with security protocols. Sharing login credentials, bypassing security systems, downloading unauthorized databases, or tampering with digital systems is strictly prohibited and subject to immediate termination and cybersecurity prosecution under applicable law.

21. Financial Accountability & Anti-Fraud

Just Help Me Foundation maintains a zero-tolerance policy toward financial fraud, embezzlement, kickbacks, unauthorized collection of funds, forgery, or corruption. Members handling any project funds, event budgets, or donations must maintain complete records, submit valid vouchers, obtain prior sanctions, and comply with standard accounting practices.

22. Compliance with Applicable Laws

Every member shall comply with all applicable local, national, and international laws, statutory rules, regulations, judicial orders, and public policies. The Foundation reserves the right to cooperate fully with law enforcement agencies, regulatory bodies, tax authorities, and judicial bodies in investigating any unlawful activity involving members.

23. Limitation of Liability

To the fullest extent permitted by applicable law, Just Help Me Foundation, its founders, trustees, directors, office bearers, employees, and authorized agents shall not be liable to any member for any indirect, incidental, consequential, special, punitive, or financial damages arising out of or in connection with membership, participation in events, suspension, termination, system downtime, or reliance on Foundation activities.

24. Governance and Organizational Bylaws

This Membership Policy forms an integral part of the governance structure of Just Help Me Foundation. In the event of any conflict between this Policy and the Foundation's registered Bylaws or Trust Deed, the provisions of the registered Bylaws or Trust Deed shall prevail.

25. Policy Amendments

Just Help Me Foundation reserves the unrestricted right to amend, modify, update, replace, suspend, or withdraw any provision of this Universal Membership Policy at any time to reflect legal changes, operational requirements, or governance enhancements. The latest version shall always be published on the official digital platforms of the Foundation and shall become effective immediately upon publication.

26. Force Majeure

The Foundation shall not be liable for any delay, disruption, cancellation, or failure to perform membership services or events resulting from natural disasters, pandemics, governmental orders, judicial directives, civil unrest, cyberattacks, network outages, or events beyond its reasonable control.

27. Governing Law and Jurisdiction

This Universal Membership Policy shall be governed by, construed, and enforced in accordance with the laws applicable to the jurisdiction in which Just Help Me Foundation is legally established and operates. Any legal dispute arising out of or relating to membership shall be subject to the exclusive jurisdiction of the competent courts having authority over the Foundation's registered headquarters.

28. Dispute Resolution

Any dispute, claim, or controversy between a member and the Foundation relating to membership shall first be resolved amicably through mutual discussion or internal mediation under the Foundation's Grievance Redressal Policy before initiating any legal proceedings.

29. Severability

If any provision of this Policy is declared invalid, illegal, or unenforceable by a court of competent jurisdiction, such invalidity shall not affect the validity or enforceability of the remaining provisions, which shall continue in full force and effect.

30. Entire Agreement

This Universal Membership Policy, together with the Foundation's Privacy Policy, Data Protection Policy, Terms and Conditions, Code of Conduct, Refund and Cancellation Policy, and official application forms, constitutes the entire agreement between the member and Just Help Me Foundation regarding membership matters.

31. Contact Information for Membership Department

For membership inquiries, verification requests, renewals, digital ID assistance, status updates, or grievances relating to membership, members may contact the official Membership Department through the authorized communication channels published on the Foundation's official platforms.

32. Final Legal Declaration

By submitting a membership application, registering as a member, holding a digital membership card, paying membership fees, accessing member portals, or participating in any program of Just Help Me Foundation (JHMF), you declare that you have carefully read, fully understood, and voluntarily accepted this Universal Membership Policy in its entirety, and you agree to abide by all its terms, conditions, obligations, and governance standards unconditionally.
